A Science Teacher's Guide to an Organized Google Drive

My Google Drive is a mess more often than I’d like to admit.
I try to keep it organized, and for a while it works. But by the end of the school year, I have files floating everywhere, random downloads sitting in my main Drive, and I can never find that really great lab I did on rates of reactions last semester.
If you are here, your Google Drive is probably a little messy too.
That’s okay. As science teachers, it’s never as simple as just organizing “lesson plans.”
It is lab instructions, answer keys, safety contracts, chemical lists, project rubrics, student data tables, slideshow copies, sub plans, review activities, parent communication, seating charts, station cards, photos of lab setups, and three different versions of the same worksheet you meant to clean up last semester.
And if you teach more than one grade level or subject, it gets even more complicated.
A general folder called “Science” is not enough.
Science teachers need a Google Drive system that matches the way science classrooms actually work.
You need to be able to find your labs, lesson plans, assignments, projects, assessments, and teacher-only files quickly without digging through endless copies and random downloads.
Here is a practical way to organize your Google Drive as a high school science teacher.
Start With One Folder for the Current Academic Year
If you are starting from scratch, begin by creating one main folder for the current school year.
For example:
2026–2027 Academic Year
This folder becomes the home base for everything you are actively using this year.
Keeping your files organized by academic year is helpful because teaching materials change. Your pacing changes. Your lab schedule changes. Your school calendar changes. Sometimes you teach a different grade level or adjust a unit based on what worked the previous year.
Instead of mixing old and new files together, keep one folder for the present academic year.
At the end of the school year, you can duplicate this folder, rename it for the new year, and make changes inside the new copy.
For example:
2026–2027 Science Teaching Files --> 2027–2028 Science Teaching Files
This gives you a clean starting point each year without losing your previous resources.
Create a Folder for Each Subject and Grade Level
Inside your academic year folder, create a separate folder for each subject and grade level you teach.
This is especially important for science teachers because one subject can look very different across grade levels.
For example, if you teach Chemistry to two grade levels, do not put everything into one folder called “Chemistry.”
Instead, create separate folders:
Chemistry Grade 11
Chemistry Grade 12
Even if some resources overlap, the pacing, depth, labs, assessments, and expectations may be different.
Your academic year folder might look like this:
2026–2027 Academic year
→ Chemistry Grade 11
→ Chemistry Grade 12
→ Biology Grade 10
→ Integrated Science Grade 9
This setup makes it much easier to plan for each course without mixing resources together.
It also helps when you are teaching multiple preps and need to quickly switch from one class to another.

Add a Course Setup Folder for Each Class
Inside each subject folder, create one folder for the materials you use throughout the year.
Name it:
00 Course Setup
The “00” keeps the folder at the top of your list.
This folder is for documents that are not tied to one specific unit but are still important for the course.
You can include:
Course syllabus
Yearly pacing guide
Lab safety contract
Classroom expectations
Parent letter or welcome letter
Student information forms
Science notebook setup pages
Gradebook or assessment tracker
Open house slides
Seating charts
Supply lists
First week of school materials
For example:
Chemistry Grade 11
→ 00 Course Setup
→ Unit 1: Measurement and Matter
→ Unit 2: Atomic Structure
→ Unit 3: Periodic Table
This gives you one place to find the documents you need at the beginning of the year, during parent communication, or when reviewing course expectations.

Organize by Unit Instead of File Type
One of the biggest Google Drive mistakes teachers make is organizing everything by file type.
For example:
Worksheets
Slides
LabsTests
Projects
This looks organized at first, but it becomes frustrating when you are planning a specific unit.
If you are teaching atomic structure, you do not want to open five different folders to find the slides, worksheets, quiz, lab activity, and project rubric.
For science teachers, it usually works better to organize by unit.
For example, inside Chemistry Grade 11, you might create:
00 Course Setup
Unit 1: Measurement and Matter
Unit 2: Atomic Structure
Unit 3: Periodic Table
Unit 4: Chemical Bonding
Unit 5: Chemical Reactions
Unit 6: Acids and Bases
Unit 7: Stoichiometry
Now, when you are planning a unit, everything for that topic is in one place.
This is especially helpful in science because each unit often has several moving parts: lessons, demonstrations, labs, safety notes, practice activities, assessments, projects, and review materials.

Use the Same Subfolders Inside Every Unit
Once you create your unit folders, use the same structure inside each one.
This is what makes your Google Drive easier to maintain.
Inside each unit folder, create folders like these:
01 Lesson Plans
02 Slides
03 Student Handouts
04 Labs and Investigations
05 Assignments and Practice
06 Quizzes and Tests
07 Projects
08 Answer Keys
09 Differentiation and Support
10 Data, Photos, and Student Examples

The key is consistency.
If every unit is organized the same way, you do not have to rethink your system every time you open a new folder. You already know where the slides go. You already know where the labs go. You already know where the answer keys belong.
That small amount of structure saves a lot of time during a busy school week.
Keep Lab Folders Inside Each Unit
For science teachers, labs should not sit in one large general folder called “Labs.”
Instead, each unit should have its own Labs and Investigations folder. This folder should include all the labs, practical activities, demonstrations, stations, or investigations you plan to use during that unit.
For example, inside Unit 1: Measurement and Matter, you might have:
Unit 1: Measurement and Matter
→ 01 Lesson Plans
→ 02 Slides
→ 03 Student Handouts
→ 04 Labs and Investigations
→ 05 Assignments and Practice
→ 06 Quizzes and Tests
→ 07 Projects
→ 08 Answer Keys
Then, inside 04 Labs and Investigations, create a separate folder for each lab or practical activity.

This setup is much more useful than keeping all labs together in one course-wide folder. When you are teaching the measurement unit, you can open that unit folder and find every related lab in one place.
It also helps you plan more realistically. You can quickly see which practical activities belong to the unit, what materials you need, which files students will receive, and which teacher-only documents you need for setup, safety, and cleanup.
This is especially helpful for science teachers because lab prep often involves more than printing a student worksheet.
You may need to check equipment, prepare samples, organize stations, label chemicals, set up data tables, adjust timing, or modify the activity for a different class.
Keeping lab folders inside the unit folder helps your Google Drive match the way you actually teach.
Keep Teacher-Only Files Separate from Student Files
Science teachers often have files that should not be shared with students.
These might include:
Answer keys
Test versions
Lab prep notes
Chemical disposal notes
Teacher-only instructions
Rubric scoring notes
Student data trackers
Assessment analysis documents
Keep these files clearly separated.
Do not keep answer keys in the same folder as student handouts unless you are very careful with sharing settings.
A simple rule is:
Student-facing files go in student folders.
Teacher-only files go in teacher folders.
This helps prevent accidental sharing, especially if you use Google Classroom, shared folders, or copied links.
It is also helpful when you are preparing materials quickly. You know exactly which folder contains the version students should receive.
Create a Simple File Naming System
A folder system is helpful, but file names matter too.
Avoid file names like:
worksheet
new worksheet
final version
final final version
copy of lab
updated copy of copy
Those names make it harder to find what you need later because you will likely end up with multiple copies of the same file, sometimes with a number added at the end to tell them apart.
Use a simple file naming pattern instead.
For example:
Grade_Subject_Unit_Topic_FileType
Here are some examples:
G11_Chem_Unit1_Density_LabHandout
G11_Chem_Unit1_Density_TeacherPrep
G11_Chem_Unit2_AtomicStructure_Slides

You do not need a complicated system. You just need a system that helps you search quickly.
If you use dates, write them in this format:
2026-09-14 Lab Safety Quiz
This keeps dated files in order and makes them easier to sort.

Make a Separate Folder for Student Submissions
If students submit lab reports, projects, presentations, or data tables through Google Drive, keep those separate from your planning files.
Inside each course folder, create:
Student Submissions
Then organize it by class period, assignment, or unit.
For example:
Chemistry Grade 11
→ Student Submissions
→ Period 1
→ Period 3
→ Period 5
This keeps your teaching materials clean and prevents student work from getting mixed in with your lesson plans, labs, and answer keys.
It also makes grading easier because you know exactly where submitted work belongs.
I also save submissions by date.


Add a “To Sort” Folder for Busy Weeks
Even with a good system, your Google Drive will still get messy sometimes.
You will download a file quickly.
A colleague will share something with you.
You will make a copy of a resource during planning.
You will create something during lunch and forget to place it in the correct unit folder.
That is normal.
Create a folder called:
To Sort
Place it inside your main academic year folder.

The “To Sort” folder is for temporary files that need a home.
The trick is to clear it regularly.
Choose one day each week or every two weeks to move files from “To Sort” into the correct course, unit, or lab folder.
Without this step, “To Sort” becomes another junk drawer.
With this step, it becomes a useful holding space.
Save Notes for Next Year
One of the most useful folders science teachers can create is a place for notes, photos, and reminders for next year.
After a lab, project, or unit, add a quick note to the folder.
You can record:
What worked well
What took longer than expected
Which materials you ran out of
Which questions confused students
Which safety reminders you needed to repeat
What you would change next time
Which student examples were strong
Which activity needs editing before next year
For example, after a density lab, you might write:
“Next year, pre-label the unknown samples before class. Students took too long choosing objects. Add one extra balance station to reduce waiting time.”
This does not need to be fancy.
A simple Google Doc called Notes for Next Year can save you a lot of planning time later.
Science teaching involves so many small setup details that are easy to forget.
A quick note can help you avoid repeating the same problem next year.
Archive the Year Before Starting a New One
At the end of the school year, do not delete your folder.
Archive it.
Rename the folder clearly:
2026–2027 Science Teaching Files - Archived
Then create a new folder for the next academic year:
2027–2028 Science Teaching Files
You can either duplicate the old folder and edit it, or create a fresh folder and copy only the materials you want to reuse.
A simple end-of-year routine might look like this:
Rename the old folder as archived.
Create the new academic year folder.
Copy the course folders you will teach again.
Remove files you no longer use.
Update pacing guides, syllabi, lab dates, and assessments.
Keep helpful notes from the previous year.
This keeps your Drive from becoming a confusing mix of old and current files.
It also allows you to reuse your best materials without dragging unnecessary clutter into the new school year.

Here is a simple structure you can copy:

You can adjust the folder names to fit your own courses, but the basic idea stays the same.
Start with the academic year. Separate your subjects and grade levels. Organize by unit. Give labs their own space. Keep teacher-only files separate. Use clear file names. Archive each year before starting the next one.
Final Thoughts
The best Google Drive system is not the most complicated one.
It is the one you can keep using when you are tired, when a lab is starting in ten minutes, when a student asks for a missing assignment, or when you are trying to find last year’s periodic table project before class begins.
For high school science teachers, organization has to support real classroom work.
That means your Drive should make it easy to find your lesson plans, labs, assignments, projects, assessments, answer keys, setup notes, and student examples without wasting time.
A clear folder system will not make teaching science effortless, but it can make planning, lab prep, and resource management much easier.
